SharePoint and OneDrive - Understanding Link Settings

When creating a sharing link, you can choose who can use the link and what permissions they will receive.

Choose Who Can Use the Link

The Link Settings window provides four sharing options.

Anyone

Anyone with the link can access the file, including users outside CCPS.

Important

Use this option with caution. When possible, grant View permissions and set an expiration date. Do not share sensitive information externally without documented approval.

People in Calvert County Public Schools

Anyone with a CCPS Microsoft 365 account can access the file if they receive the link.

This includes students.

Only People with Existing Access

Only users who already have permission to the file may use the link.

People You Choose

Only the specific individuals you select may use the link.

Additional Link Settings

Permissions

Select whether recipients may:

  • View
  • Edit

Choose the least amount of access necessary.

Expiration Date

Optionally set an expiration date for the sharing link.

After the expiration date, the link will no longer provide access.

Summary

Link Settings allow you to control who can access a shared file, what they can do with it, and how long the link remains active.
