SharePoint and OneDrive allow you to securely share files and folders with individuals or groups. This article explains the different ways to open the Share window and share a file.
Before You Begin
Sign in to Microsoft 365 using your CCPS account.
- Open your preferred web browser.
- Navigate to https://portal.office.com.
- Sign in using your CCPS account.
- If you are using Microsoft Edge on a CCPS device, you may be signed in automatically.
- Select Apps.
- Open SharePoint or OneDrive.
- Navigate to the file you want to share.
Open the Share Window
There are several ways to access the Share window.
Method 1: From the File List
- Hover over the file.
- Select the ellipsis (...).
- Select Share.
Method 2: Using the Share Icon
- Hover over the file.
- Select the Share icon.
Method 3: From an Open Document
- Open the document.
- Select Share in the upper-right corner.
- Select Share from the menu.
Method 4: From the Desktop Office Apps
- Open the document in Word, Excel, PowerPoint, or another Microsoft Office application.
- Select Share.
- Select Share from the menu.
Method 5: From File Explorer
If your SharePoint or OneDrive files are synchronized to your computer:
- Open File Explorer.
- Browse to the synced folder.
- Right-click the file.
- Hover over OneDrive.
- Select Share.
Share the File
Once the Share window opens:
- Enter the recipient's name, group, or email address.
- Select the permission level.
- Optionally enter a message.
- Select Send.
