Microsoft SharePoint and OneDrive - Share a File or Folder

SharePoint and OneDrive allow you to securely share files and folders with individuals or groups. This article explains the different ways to open the Share window and share a file.


Before You Begin

Sign in to Microsoft 365 using your CCPS account.

  1. Open your preferred web browser.
  2. Navigate to https://portal.office.com.
  3. Sign in using your CCPS account.
    • If you are using Microsoft Edge on a CCPS device, you may be signed in automatically.
  4. Select Apps.
  5. Open SharePoint or OneDrive.
  6. Navigate to the file you want to share.

Open the Share Window

There are several ways to access the Share window.

Method 1: From the File List

  1. Hover over the file.
  2. Select the ellipsis (...).
  3. Select Share.


Method 2: Using the Share Icon

  1. Hover over the file.
  2. Select the Share icon.


Method 3: From an Open Document

  1. Open the document.
  2. Select Share in the upper-right corner.
  3. Select Share from the menu.


Method 4: From the Desktop Office Apps

  1. Open the document in Word, Excel, PowerPoint, or another Microsoft Office application.
  2. Select Share.
  3. Select Share from the menu.


Method 5: From File Explorer

If your SharePoint or OneDrive files are synchronized to your computer:

  1. Open File Explorer.
  2. Browse to the synced folder.
  3. Right-click the file.
  4. Hover over OneDrive.
  5. Select Share.


Share the File

Once the Share window opens:

  1. Enter the recipient's name, group, or email address.


     
  2. Select the permission level.


     
  3. Optionally enter a message.


     
  4. Select Send.

Summary

You can share SharePoint and OneDrive files directly from the web, Microsoft Office applications, or File Explorer using the Share window.
