Microsoft Outlook - View Room Calendars

Microsoft Outlook allows you to view room calendars to check availability before scheduling a meeting. You can view room availability using Room Finder, Scheduling Assistant, or by adding the room to your Shared Calendars for quick access.

Choose the method that best fits your workflow.


Method 1: Use Room Finder

Room Finder displays available rooms while you are scheduling a meeting or appointment.

  1. Open Microsoft Outlook.
  2. Navigate to your Calendar.
  3. Select New Meeting or New Appointment.
  4. Open Room Finder.
  5. Browse the available rooms based on your meeting date, time, building, and capacity requirements.

Room Finder automatically filters out unavailable rooms, making it one of the quickest ways to locate an available meeting space.

Method 2: Use Scheduling Assistant

Scheduling Assistant lets you compare attendee availability with room availability on a single screen.

  1. Open or create a New Meeting.
  2. Add the desired room to the meeting.
  3. Select Scheduling Assistant.

The room's availability appears alongside your attendees, allowing you to quickly identify an available meeting time.


Method 3: Add a Room to Shared Calendars

If you frequently schedule the same room, you can add its calendar to your Shared Calendars for easy access.

Add a Room Calendar

  1. Open Microsoft Outlook.
  2. Navigate to your Calendar.
  3. Select Add Calendar.
  4. Select From Room List.



  1. Select the room you want to add.


     

  2. Select OK or Add.

The room will now appear under Shared Calendars.


View the Room Calendar

After adding the room:

  • Select the room under Shared Calendars.
  • The room's schedule will appear alongside your own calendar.
  • You can review when the room is available or reserved.

What Information Can I See?

The information displayed depends on your permissions and how the room is configured.

Most staff members will see:

  • Meeting date
  • Meeting time
  • Meeting organizer (requestor)
  • Room location

For privacy reasons, meeting names and details are generally hidden.

Important

Only room delegates and authorized staff can view additional meeting details. If your job responsibilities require access to meeting names or other information, contact the Department of Information Technology (DIT).


Viewing Imported Events

If your organization recently transitioned from SharePoint room calendars to Outlook Rooms, previously scheduled events that were imported into the new room calendars may display the original event names.

New meetings created after the transition will follow the organization's privacy settings and typically display only the organizer, time, and location.


Tips

  • Add frequently used rooms to your Shared Calendars for quicker access.
  • Use Scheduling Assistant when coordinating meetings with multiple attendees.
  • Use Room Finder when searching for an available room based on location or capacity.
  • If a room appears unavailable, consider adjusting the meeting time or selecting another room.
