- Assisting staff who are unable to reserve a room.
Approving Room Requests
If a room is configured for manual approval, delegates receive an email whenever a reservation request is submitted.
The request includes information such as:
- Meeting title
- Meeting organizer
- Requested date and time
- Room requested
From the approval email, delegates can:
- Accept the request.
- Decline the request.
- Propose a new meeting time (if configured).
Once a decision is made, Outlook automatically notifies the meeting organizer.
Managing the Room Calendar
Delegates can open the room's calendar just like any shared Outlook calendar.
From the calendar, delegates may:

If changes to the meeting details are required, contact the meeting organizer. Room delegates can manage the room reservation but cannot modify another user's meeting.
Managing Booking Permissions
Some rooms are restricted to specific departments or staff members.
If a user attempts to reserve a restricted room without the appropriate permissions:
- Outlook automatically declines the request.
- The user receives an email stating that they do not have permission to reserve the resource.
If appropriate, delegates may:
- Reserve the room on behalf of the user.
- Request that DIT modify the room's booking permissions.
Canceling Reservations
If a room reservation needs to be removed, delegates may delete the reservation from the room calendar.
Before canceling a reservation:
- Verify that the cancellation is appropriate.
- Whenever possible, contact the meeting organizer first.
Deleting a room reservation does not automatically update the organizer's meeting invitation. The meeting organizer may still need to modify or cancel the meeting on their calendar.

To help ensure rooms are managed consistently:
- Review pending requests promptly.
- Approve or decline reservations as soon as possible.
- Avoid deleting reservations without first contacting the meeting organizer.
- Keep room calendars organized and up to date.
