Microsoft Outlook - Understanding Room Booking Responses

After you reserve a meeting room or other shared resource in Microsoft Outlook, the room processes your request based on its availability and booking rules. Outlook will then send an automated email indicating whether your reservation was accepted, declined, or requires approval.

This article explains the most common room booking responses and what action, if any, you need to take.


Accepted

If the room is configured for automatic booking and is available during your requested time, you will receive an email similar to:

"Your request was accepted."

This means:

  • Your room has been successfully reserved.
  • No additional action is required.
  • The room will appear on your meeting invitation and calendar.

Declined Due to a Scheduling Conflict

If the room is configured for automatic booking but is already reserved during the requested time, you will receive an email similar to:

"Your request was declined because there are conflicts."

This means:

  • Another meeting has already reserved the room.
  • Your reservation was not accepted.

What to Do Next

You can:

  • Select a different room.
  • Change the meeting date or time.
  • Use Room Finder to locate another available room.

Pending Approval

Some rooms require approval from one or more room delegates before they can be reserved.

If this is the case, you will receive an email similar to:

"Your request was received and is pending approval."

The room delegates will receive your request and can:

  • Approve the reservation.
  • Decline the reservation.
  • Propose a different meeting time (if configured).

Once a decision has been made, you will receive another email notifying you of the outcome.


Permission Denied

Some rooms are restricted to specific departments or staff members.

If you attempt to reserve a room without the required permissions, you will receive an email similar to:

"You do not have permission to book this resource."

This means:

  • Your reservation request was automatically declined.
  • The room administrator has limited who may reserve the room.

What to Do Next

If you still need the room:

  • Contact one of the room's delegates or administrators.
  • Request that they reserve the room on your behalf or grant you access if appropriate.

Note

When viewing the room's calendar, users without booking permissions may not see the name of the person who reserved the room.


Reservation Approved

If your room required delegate approval, you will receive an email confirming the reservation after it has been approved.

Once approved:

  • The room is officially reserved.
  • The meeting invitation remains unchanged.
  • No additional action is required.

Reservation Declined by a Delegate

If a delegate declines your reservation request, you will receive an email notifying you that the room could not be reserved.

Common reasons include:

  • Scheduling conflicts.
  • The room is unavailable.
  • The reservation does not meet room policies.

What to Do Next

  • Select another room.
  • Adjust the meeting time.
  • Contact the room delegate if you have questions.

Important

If your reservation is declined, Outlook does not automatically remove the room from your meeting invitation. You must manually remove the room or choose another location before sending an updated meeting invitation.
